Airfare, coaches, chaperones, meals, supervision, and a school calendar already make that a large decision. The venue either concentrates the trip or splits it across hotels, restaurants, and attractions.

Why schools leave their own state for an overnight
Senior classes want a last stretch of time together before graduation. Leadership groups need a setting that is not the gym after seventh period. Some schools want a “Florida Winter “ or early-spring trip that feels like a real departure from campus.
Florida can do that. Students leave snow, routine, and the school parking lot. That only pays off if the days in Florida are spent as one group — not as 140 people moving between a hotel breakfast, a bus, a ticketed attraction, and another restaurant.


What an out-of-state school should require of a Florida venue
- The whole group sleeps on the same property. Splitting a class across hotel blocks adds room checks, late-night movement, and extra vehicles. A group campus keeps students, teachers, and chaperones in one place.
- The campus is exclusive to your school. Reserving “a retreat center” is not the same as having the dining hall, lake, gym, and meeting rooms to yourselves. Shared campuses share the schedule. Exclusive use means your meals, sessions, and recreation are not built around another organization’s program.
- Meals stay on site. Ask what is included: breakfast, lunch, dinner, snacks, vegetarian options, allergies, and other restrictions. On-site meals keep the group together and remove three restaurant moves per day.
- Recreation does not require another bus. Waterfront, fields, pool, group games, and meeting space on the same property simplify supervision. Specialty elements such as a facilitated ropes session can be added; they should not be required to make the weekend work.
- There is a room that holds the whole class, plus breakouts. A leadership weekend or senior overnight needs both.
- Chaperones can actually supervise the property. A contained campus is easier to manage than a hotel corridor plus a public attraction.
Hotel package vs exclusive-use campus
Hotels are built for unrelated guests. A school overnight is not.

Most out-of-state school groups fly into Orlando or Jacksonville, then take a charter coach to campus. Texas groups usually fly DFW or IAH into the same two airports. Driving the full distance from Michigan or Pennsylvania is rarely practical for a 2-night school trip.
Evaluate the whole trip, not the pin on the map. If students are already flying to Florida, a campus that includes lodging, meals, meetings, and recreation removes most of the second-day transportation.

A workable Friday–Sunday fly-in
This is the pattern that fits a long weekend without turning the trip into a park itinerary.
Friday
Morning or midday flights into MCO or JAX. Coach to campus. Check-in, cabin assignments, first sit-down meal. Evening: opening session, fields or lake if daylight remains, campfire.
Saturday
Breakfast on campus. Full day the school owns: sessions, team building, waterfront, sports, optional ropes by advance arrangement, free time that is still on the property. Lunch and dinner in the dining hall. Evening gathering the school designs.
Sunday
Breakfast. Short closing session. Load coach with a buffer for airport security. Afternoon flights home.
A Thursday arrival / Sunday departure works for groups that want a second full day on campus. School class trips here most often book a 2-night / 3-day stay during the school year.

Senior overnights and leadership weekends

When to lock the venue
The 2026 calendar is fully booked, with a waitlist for cancellations. New school overnights are being reserved for Fall 2027 through Summer 2028.
Out-of-state groups should hold the campus before airfare and fundraising finish. District approval, parent letters, coaches, and chaperone ratios take months. Spring weekends go first.

Ropes and climbing are scheduled separately with a facilitator when a school wants them.
